HPD Corporation and its group companies*1 (hereinafter referred to as "the Company") recognize the importance of personal information (personal information as defined in Article 2 of the Act on the Protection of Personal Information/hereinafter referred to as "personal information") of customers, business partners, job applicants (including internship applicants), employees, officers, and other members of the Company (hereinafter collectively referred to as "customers, etc.") in connection with the operation of the Company Group facilities*2, and will comply with laws and guidelines concerning the protection of personal information and handle it appropriately. 1. Types of personal information to be collected 

The personal information we acquire and hold includes the following:

(1) Personal information received from customers 
① Basic information (name, address, gender, date of birth, nationality, email address, phone number, passport number, etc.) 
② Related information (anniversaries, preferences, allergies, etc.) 
③ Payment information (credit card number, bank account number, etc.) 
④ Facility service usage status (accommodation, activities, product purchase history, etc.)

2. Purpose of acquiring personal information 

Our company will acquire and use personal information within the scope of the following purposes. Furthermore, if we need to process information beyond these purposes, we will obtain prior consent from the individual concerned, except in cases permitted by law.

3. Methods for obtaining personal information 

Our company acquires personal information through the following methods. Customers always have the right to choose whether or not to provide personal information. However, if customers refuse to provide personal information, such as by not providing their name, they may be unable to use some services. 

(1) Direct acquisition from customers, etc. Personal information may be acquired through telephone, written documents, business cards, verbally, websites, apps, etc., when making or using reservations for our group facilities, creating accounts on our group facilities' websites, answering questionnaires, participating in raffles or contests, applying for or using services provided by our group facilities, recruitment or business interactions, etc. 

(2) Acquisition from customers' devices and the network of our group facilities When customers use our group facilities' websites or other content, we may automatically acquire personal information from their devices using cookies and related technologies. 

(3) Acquisition from companies authorized by customers, etc. Personal information may be acquired from companies selected by our group facilities, etc., with which customers, etc., have entered into contracts in order to use our group facilities. Examples) Travel agencies used by customers, etc., airlines used as means of transportation, etc., credit card companies used by customers, etc. 

(4) Acquisition from publicly available information: Personal information may be acquired from newspapers, the internet (including social media), telephone directories, publications, and other books. 

(5) When we obtain personal information from customers or others from sources other than those mentioned above, we will clearly explain the purpose and content of such information and will only acquire the minimum amount necessary.

4. Safety Management 

At our company, we comply with the standards stipulated in the Personal Information Protection Act and related laws and regulations when handling personal information, and we take the following measures.

However, this does not guarantee a completely secure environment.

If you or your representative wish to request disclosure, notification of purpose of use, correction/addition/deletion (partial), suspension or deletion (entire) of personal information held by our company, or disclosure/suspension of records of provision to third parties (hereinafter collectively referred to as "requests for disclosure, etc."), please submit the required documents in writing (registered mail) to the contact point below, and we will respond promptly within a reasonable period and to the extent necessary (a fee equivalent to the actual costs will be charged depending on the content of the request). The invoice will be sent by mail (registered mail requiring recipient's signature) or email to the address you provided on the invoice request form.

(4) Notes 
  • If there are any deficiencies in the information provided, identification documents, or fees, we will contact you at the "Contact Information from Our Company" listed on the invoice. However, if we do not receive a resubmission within two weeks of this notification, the invoice will become invalid. In this case, the documents and fees received will not be returned and will be handled appropriately by our company. 
  • All costs related to disclosure, such as printing and copying of necessary documents, obtaining identification documents, and postage, will be borne by the requester. 
  • Personal information obtained by our company in response to requests for disclosure, etc., will be used only to the extent necessary for the disclosure procedures. Please note that submitted documents will not be returned. They will be disposed of appropriately by our company. 
  • Please note that we cannot be held responsible for any problems that may arise as a result of the disclosure of personal data held by us in response to this request.

10. Kana processing information 

(1)
When creating pseudonymized information (information about an individual obtained by processing personal information in such a way that a specific individual cannot be identified unless it is cross-referenced with other information), our company will process the information appropriately in accordance with the standards stipulated in the Personal Information Protection Act and related laws and regulations.

We will use pseudonymized personal information to the extent necessary for the purposes of use listed in "2. Purpose of Acquisition" and "6. Joint Use" of this policy. If we change the purpose of use and use it for other purposes, we will make the changed purpose of use public.

We will not cross-reference the pseudonymized personal information with other information for the purpose of identifying the individual whose personal information is the original source. Furthermore, we will not provide the pseudonymized personal information to third parties except when it is shared among our group facilities.

When creating pseudonymized information, or when acquiring pseudonymized information and related deletion information, we will take safety management measures for the pseudonymized information and related deletion information in accordance with the law, in addition to those stipulated in "4. Safety Management" of this policy.

11. Anonymously processed information

(1)
When creating anonymized information (information that has been processed in such a way that it is impossible to identify a specific individual and cannot be restored to its original form), our company will process it appropriately in accordance with the standards stipulated in the Personal Information Protection Act and related laws and regulations.

We will not cross-reference anonymized information with other information for the purpose of identifying the individual whose personal information was used to create it. Furthermore, when creating anonymized information, we will disclose the categories of personal information included in that anonymized information. When providing such information to a third party, we will clearly indicate that the information being provided is anonymized information.

When creating anonymized data, we will take measures to prevent the leakage of deleted information, personal identification codes, and information regarding the processing methods used from the personal information used to create the anonymized data, in addition to those stipulated in "4. Security Management" of this policy, based on the provisions of the law.
